This Privacy Policy explains how Mike's Cops and Robbers ("MCNR", "we", "us", "our") collects, uses, and protects personal data when you play on our GTA San Andreas Multiplayer server, use our website at mikescnr.com, interact with our support ticket and feedback systems, or join our Discord community.

We are committed to handling your data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who we are

Mike's Cops and Robbers is a hobby-run GTA San Andreas Multiplayer (SA-MP) game server and community, including an associated website, support ticket system, and Discord server. For the purposes of data protection law, MCNR is the "data controller" responsible for your personal data.

2. What information we collect

We do not collect or store your full payment card or bank details. These are handled directly by PayPal under its own privacy policy — see PayPal's Privacy Statement.

If you submit an email address (for example, when registering an account), it is used only for account-related purposes such as password resets, ticket replies, and important service notices. Your email address is visible only to server staff/administrators who need it to provide support — it is never displayed publicly, shown to other players, or shared with third parties beyond what's described in section 5 below.

Unlike your password, an in-game security question and answer are not one-way hashed, since staff need to be able to read them to verify your identity during account recovery. They are visible to server staff/administrators only, used solely for that purpose, and are never displayed publicly or shared with other players. We'd recommend not using sensitive personal information as your answer.

3. How we use your information

  • To create and maintain your player/website account
  • To operate, secure, and maintain the game server (e.g. anti-cheat, abuse prevention, troubleshooting desync or connection issues)
  • To moderate chat, enforce server rules, and take admin action where necessary — including using IP addresses and connection logs to issue, verify, and enforce bans, and to detect ban evasion (e.g. repeat offenders rejoining under a new account)
  • To respond to support tickets and feedback/suggestions
  • To process and fulfil donations and VIP perks
  • To investigate reports of misconduct and respond to player disputes
  • To send important service-related communications (e.g. ticket replies, server announcements)
  • To analyse and improve the server, website, and gamemode (using aggregated, non-identifying statistics where possible)

Under UK GDPR Article 6, we rely on the following legal bases:

  • Consent — where you've actively chosen to register an account, join Discord, or make a donation.
  • Contract — to provide the services you've signed up for, such as VIP perks tied to a donation.
  • Legitimate interests — for security, anti-cheat, fraud/abuse prevention, and keeping the community safe, balanced against your right to privacy.
  • Legal obligation — for example, retaining financial records of donations as required by HMRC.

5. Who we share your information with

We do not sell your personal data. We share limited data with the following third parties, only as needed to run the service:

  • PayPal — to process donations and payments. See PayPal's Privacy Statement.
  • Discord Inc. — if you choose to link or use our Discord server/bot, Discord processes your data under its own privacy policy.
  • Cloudflare, Inc. — provides website infrastructure and our privacy-friendly, cookieless web analytics. See Cloudflare's privacy policy.
  • Our hosting provider — our VPS and infrastructure is hosted by So You Start (part of OVH) in France. They act as our data processor, storing data strictly on our instructions and under their own security commitments — see OVHcloud's compliance & certification page. We remain responsible for your data as the controller.

We may also disclose data where required by law, or to protect the rights, property, or safety of MCNR, our players, or others (for example, in response to a lawful request from a law enforcement authority).

6. International data transfers

Our server infrastructure is hosted in France, by So You Start (part of the OVH group) — within the EU. Some third parties we use (such as PayPal and Discord) are based outside the UK/EEA, including in the United States. Where this happens, we rely on those providers' own compliance mechanisms (such as Standard Contractual Clauses or adequacy decisions) to ensure your data remains protected to UK GDPR standards.

7. How long we keep your data

If you delete your account or ask us to erase your data, we will remove or anonymise it within a reasonable timeframe, except where we're legally required to keep certain records (such as donation records for tax purposes).

8. Cookies & analytics

Our website uses strictly necessary cookies — for example, to keep you logged in and to maintain your session.

We also use Cloudflare Web Analytics to understand overall site usage (e.g. page views and visit counts). Cloudflare Web Analytics is designed to be privacy-friendly: it does not use cookies or any persistent client-side identifiers, and does not track you individually across visits or other websites. It may briefly process your IP address to generate aggregated, anonymised statistics. We do not use advertising or cross-site tracking cookies, and we do not use services like Google Analytics.

9. Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate or incomplete data
  • Erase your data ("right to be forgotten"), subject to legal retention requirements
  • Restrict or object to certain processing
  • Port your data to another service in a machine-readable format
  • Withdraw consent at any time, where processing is based on consent

To exercise any of these rights, please use our support page at mikescnr.com/support — if you're unable to use that, you can email [email protected] instead. We'll respond within one month, as required by law.

If you're unhappy with how we've handled your data, you also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO).

10. Children's privacy

Our services are not directed at, or intended for, children under the age of 13. If you are under 13, please do not create an account, make a donation, or provide personal information to us. Discord's own terms additionally require users to be at least 13 years old. If we become aware that we've collected data from a child under 13 without appropriate consent, we will delete it.

11. Security

We take reasonable technical and organisational measures to protect your data. This includes storing passwords using industry-standard one-way hashing methods (so we never store or can view your actual password), restricting administrative access to personal data, and maintaining secure server configurations. However, no system is 100% secure, and we cannot guarantee absolute security of data transmitted over the internet.

12. Account security & your responsibilities

Keeping your account secure is a shared responsibility. While we take steps to protect the data we hold (see section 11), we are not responsible for any loss, misuse, or compromise of your account that results from how you manage your own credentials — for example, if your password is guessed, phished, or leaked from another, unrelated service.

To help keep your account safe, we recommend that you:

  • Use a strong, unique password for MCNR that you don't reuse on any other website or service
  • Never share your password, security question/answer, or account recovery details with anyone else, including other players claiming to be staff
  • Do not share your account with other players — accounts are personal and must only be used by the person who registered them
  • Be cautious of phishing attempts — staff will never ask for your password via DM, ticket, in-game chat, or any other channel
  • Contact us immediately via the ticket system if you believe your account has been compromised

If your account is compromised due to a weak, reused, or shared password, we'll do what we reasonably can to help you recover it, but we cannot guarantee restoration of lost progress, items, or VIP perks, and we accept no liability for any resulting loss.

13. Changes to this policy

We may update this policy from time to time to reflect changes in our practices or legal requirements. We'll post the updated version on this page with a revised "Last updated" date. Significant changes may also be announced via Discord or our website.
